Schedule a Zoom meeting
There are two methods of scheduling a Zoom meeting, first one would be through your web browser and the second method would be from your Zoom app. Please see below for both methods.
Method 1: Scheduling a Zoom meeting via web browser
- Sign in to your Zoom account here: Zoom SSO Sign in
- Click on the "Meetings" tab located on the left hand side.
- Then click on "Schedule a New Meeting" button
- Fill in the Topic of your meeting, the description is optional.
- Fill in the When, Duration, Time Zone, and if it is an reoccurring meeting, please set the recurrence.
- As an added layer of security or to keep track of your attendees, you may make registration required.
- Always make "Meeting ID" Generate Automatically and not Personal Meeting ID. This is to prevent Zoom bombing, it is best practice that you do not use your Personal Meeting ID.
- It is also best practice that we always have a password in your meetings.
- Make sure for "Audio" option that you have both, so people have the option to dial in via Telephone or Computer audio/ Zoom app.
- For Meeting Options, you may use the follow below.
- Having "Enable join before host" activated allows people to join the call without you starting the call all the time. Also allows people to have a discussion before the host arrives.
- You may enable "Mute participants upon entry"
- If this is a private meeting among peers in Columbia University then you may enable "Only authenticated users can join", if it is a public meeting then have this disabled.
- Breakout Room pre-assign is enabled if you would like to assign people in groups before the start of your call.
- You may enable "Record the meeting automatically on the local computer" if you intend to record right away than opposing to choose when to record by clicking on the "Record" button.
- You may also set an alternative host by putting their Columbia email.
- Click "Save" and you are all set!
Method 2: Scheduling a Zoom meeting via Zoom app
- Launch your Zoom app
- Click on "Schedule"
- Under "Topic" please put the name of your meeting.
- Please fill in the Start of your meeting, the duration of your meeting, and if this is a reoccurring meeting, please set the recurrence.
- For "Meeting ID" always make sure "Generate Automatically" is selected, to prevent Zoom bombings from happening.
- For "Password" always make sure that it is required.
- Video options is up to you to decide. You have the option of turning video on or off for Host and Participants.
- For "Audio" always select "Telephone and Computer Audio", that way people have the option to dial in via Telephone or Computer audio/ Zoom app.
- For "Calendar" you have the option to save this to your Outlook calendar, Google calendar and others.
- Click on "Advanced Options"
