Executive Summary
The purpose of this document is to detail the functional design of the tools that will be used to facilitate the Slate+Advising Platform that will be deployed with this project. It will be supplemented with a more detailed Technical Design that covers the specifics of the application elements that will comprise the overall toolchain.
Functional Components
The following sections will detail the functional components that are required to successfully implement this project.
- HBCU/CUNY Fellows
- Create a Select Multiple Field called "Fellowships" with separate prompts for "HBCU" and "CUNY".
- A source format will be created to allow for the uploading of a cumulative list of each type of fellow.
- A population will be created for HBCU Fellows and for CUNY Fellows with dedicated rules to assign students to those roles.
- Users will see in the Populations section of a student's dashboard page whether that student is an HBCU Fellow, a CUNY Fellow, neither, or both.
- Advisor Scheduling
- Create a replacement advisor scheduling portal that does not contain a landing page.
- Change the URL of the current advisor scheduling portal and make it inactive.
- Set the new advisor scheduling portal URL to match the old one so that advisors don't need to update their links.
- Change of Modality Request Form
- Create an email that is automatically generated when a decision has been made about someone's change of modality request.
- Registration Monitoring Tab
- Create a tab on students' homepages where users can see a portal widget with students' current and historical registration monitoring statuses.
- Users can update the statuses as information becomes available.
- Display a list of advising notes of the "Registration Status" type below the widget table.
- Registration Monitoring Portal
- Users will be able to see a list of students who are eligible for registration monitoring:
- Students with a status of new student or continuing student who have not registered for any classes in the relevant term.
- Users will be able to filter that list based on:
- Program of study
- Admit term
- Last initial
- Users will be able to click links on the list to pop up additional windows to:
- Send emails to the students
- Go to students' registration monitoring tab.
- If the user adds a registration monitoring status, it will be updated on the page.
- Go to students' advising notes tab.
- Users will be able to see a list of students who are eligible for registration monitoring:
