How-To: Use EM Report

Purpose

The Enrollment Management, EM report is used to manage the progress of SPS enrollments for the current term and compare the enrollments from the previous terms.


Steps: 

  1.  Log in  to the Power BI report:
  2. Select the 'SPS Enrollment' App
  3. Click on the 'Enrollment Management' EM report

Please Note:

There are five report pages in the EM report.

(1) Summary - The summary of student headcount by term, credits by term, gender by term, citizenship by term, part-time/full-time by term, and continue/new student

(2) By Program - Student Headcount and Credits by Programs, Schools, and Degree Codes

(3) By Course - Student Headcount, Enrollment, and Credits by Subjects, Courses, Sections, and Class Names. (Very useful data. How many students are enrolled in each course.)

Student headcount – Student headcount is an unduplicated count of students. It is an actual number of individual students enrolled in a term.
Enrollment - Enrollment is a duplicated count of students. If a student enrolled in one course then, Enrollment = 1, if a student enrolled in 2 courses then Enrollment = 2.

(4) By CountryStudent headcount and Credits by Country of Citizenship.

(5) TRCL Credits Trends - Use this ‘TRCL Credits Trends’ during the registration cycle to compare the Student Headcount and Credits from the same time period last year - YOY) - (1) YOY - Student Headcount (2) YOY - Credits (3) Credits Add/Drop (4) Net Credits

4. Use the report slicers to filter the data

The Differences Between a Power BI Slicer and a Filter
Both slicers and filters refine data, but the main difference is that a slicer operates on a report canvas, whereas, filters are configured and operate in the background of reports.

Filters have more advanced options like top, max, between, less than, greater than, etc.

5. Select the Filters to narrow down your search

Description of the above report filters:

(1) Term Name - There are three filter options (1) Spring (2) Summer (3) Fall

(2) Academic Department - Name of the course offering Academic Department

(3) Gender - Gender type

(4) Enrollment Status - Full-time/Part-time

(5) Student Status - New/Continue

(6) Subterm Code - An alphabetical letter is used to identify the courses, for example, A, B, C, K, L, M, N, O, X, etc

(7) School Name - The name of a student's school

(8) School Type - There are two filter options (1) SPS (Filters all SPS students) (2) NonSPS (Filters only NonSPS students) 

(9) Country Name - Students' Country of Citizenship

(10) Citizenship - There are two filter options (1) USA (All US students) (2) International (All International students)
