FY24.1.x: Functional Design (Slate+Advising)

Executive Summary

The purpose of this document is to detail the functional design of the tools that will be used to facilitate the Slate+Advising Platform that will be deployed with this project.  It will be supplemented with a more detailed Technical Design that covers the specifics of the application elements that will comprise the overall toolchain.

Functional Components

The following sections will detail the functional components that are required to successfully implement this project.

• Single Sign-On (SSO)
  
  • Students would need to login via SSO to schedule advisor meetings and fill out forms.  That way their name and contact information would be entered automatically.
  • Logging in via SSO will take students to a landing page which contains links to the various forms, etc. that they can access in Slate.
• Move spsadvising inbox from Front to Slate
  • Manage access and update processes to support the cutover
  • Decommission account(s) in Front when completed
• Leave of Absence
  
  • Automate the current Leave of Absence request process with forms, comms, and reports using other automated forms as a model
  • Needs to conform to the specifics of the workflow (see Technical Requirements)
• Automated communications
  • A template email will be created for advisors to send to their advisees. Advisors will have the ability to customize this email before sending it themselves.
  • An announcement will go out to each student saying that the program change period is closing.
  • A message will go out automatically to students that are no-shows for advising appointments.
• Active Scheduler for Wellness Team (specs here: https://docs.google.com/document/d/1xOooMT006b2o6fYpOrAe9yjfJlwLdlbIXxUauTJsrMc/edit?usp=sharing).
  • Students will be able to set up appointments with members of the wellness team through Active Scheduler.
  • Students and advisors will receive confirmation emails upon scheduling a wellness session, including a .ical file to add the event to their calendar.
  • Students will receive a reminder email on the day of the session with a link to confirm or cancel their attendance.
