Release FY24.1.3 [November 2023]

• Student Relationship Management
  • Updated Certification of Professional Achievement form and confirmation message to use an entered phone number rather than the system phone number to ensure that it is up-to-date even if the student is no longer at Columbia.
  • Leave of Absence form
    • Added fields to ask students which term, session (optional), and year the leave is for. 
    • Made last day of optional optional because it is only used by people requesting a leave during the current term.
• Communications & Outreach
  • Created an email template for the Advising Welcome email which advisors can use to develop a customized email that they can send to their advisees.
  • Created an email template to announce the close of the program change period which advisors can use to develop a customized email that they can send to their advisees.
  • Created a query called "My Currently Enrolled Advisees," which advisors can use to send mass emails to their advisees.

Release FY24.1.2 [October 2023]

• Student Relationship Management
  • For the leave of absence form, added fields for Wellness Decision for if the student chooses Medical for the type of leave of absence.
  • Added fields to capture the names of the individuals (advisor, program representative, wellness representatives) signing off on the form.
  • Added the Preferred Name field to the form students complete when booking appointments with either advisors or wellness team members. Added Preferred Name to the confirmation and reminder emails as well.

  • Added link to Slate+Admissions to External Resources
• Security & Access Management
  • Required Single Sign-On (SSO) for students to access the following forms:
    • Certification for Professional Achievement
    • Course Waiver/Advanced Standing
    • Leave of Absence
    • Notice of Withdrawal
  • Require Single Sign-On (SSO) for students to access advisor scheduling portal.
    • Added note to advisor scheduling div that says students will require a UNI to schedule appointments. 
    • Configured forms to capture information (first name, last name, etc.) of the logged in user for form submission.
    • Altered communications to use form field data.
    • Fixed ability to take system offline for maintenance.
  • Configured Slate to use only SSO authentication
• Student Relationship Management
  • Changed the advisor appointment confirmation form to require SSO.
  • Updated the Notice of Withdrawal
    • Modified it to follow new standard template.
    • Added two missing fields to confirmation emails.
  • Active Scheduler for Wellness Team (specs here: https://docs.google.com/document/d/1xOooMT006b2o6fYpOrAe9yjfJlwLdlbIXxUauTJsrMc/edit?usp=sharing).
    • Created an in-person and virtual scheduler template for the wellness team.
    • Wellness team members created Active Schedulers.
    • Added in-person and virtual active scheduler widgets to the advising portals for Danielle and Brooke.
    • Created confirmation/reminder/cancelation emails using the new email template.
    • Trained wellness team on Slate usage.
  • Updated the following forms' confirmation emails to follow new standard template:
    • Certification for Professional Achievement
    • Course Waiver/Advanced Standing
    • Leave of Absence
  • Leave of Absence workflow in Slate.
    • Created a form for students to request a leave of absence.
      • Included internal form sections for the advisor to complete with his/her decision as well as that of the program representative (director, professor, etc.)
      • Included internal form for the Advising administration to provide info about refunds, etc.
    • Created a confirmation email that gets sent upon form submission to the student and his/her advisor.
• Communications
  • Slate Inbox
    • Created Inbox Groups for the following four aliases in Slate 
      • Inbox - Dean of Students
      • Inbox - SPS Advising
      • Inbox - Student Withdrawals
      • Inbox - Summer Advising
    • Had CUIT set the underlying service email address for each alias to forward to the appropriate Slate Gateways email address.
    • Created a new role for each alias.
    • Assigned each advising staff member to the appropriate role.
    • Created instruction manual for inbox usage.
• Notice of Withdrawal
  • Added "New Student Commit/Decline" internal question.
• Course Waiver/Advanced Standing Application
  
  • Added "Input in SIS" internal question that only appears if the student is applying for Advanced Standing.

  • Require Single Sign-On (SSO) for students to access forms and schedule advisor appointments.
    • Update data import to assign UNI to the SSO Username field for all managed records.
