SPS Photos (Slate+Advising)

Overview

The data that feeds from Lenel (Identity Access Management) into Slate needs to conform to specific standards for proper processing. This document will cover the synchronization feed that has been configured, including the detailed file specifications, use cases, and development cycles.

Special Considerations

Feed Processing

  • Slate has been configured to watch for an updated file in the "incoming/sis" SFTP folder and then process the records using the appropriate source format.
    • ZIP files are generated nightly through a scheduled process managed by the CUIT/IAM team.
      • All files are saved on the H: drive in the following location: H:\Systems and Data Analysis\DATA_EXPORTS\Slate+Advising\photos.
      • All files are transferred nightly to the Slate SFTP folder using a script on the AIS terminal server.
        • SPS_Photos.zip
          • Includes all SPS students that have a new or updated photo in the IAM system (Lenel)
          • Includes a csv file that maps CUID to each included image file name (JPG)
            • E.g., C012345678,ab1234.jpg

Support

  • Automated emails are sent when files fail to be sent or uploaded.
  • Should there be a problem with the feed on the IAM side, the following steps should be taken:
    • Send an email to askcuit@coiumbia.edu with a note to assign it to Steve Cramer detailing the problem. Include iamfunc@columbia.edu on copy to ensure the IAM team gets the message as well.
      • A ticket will be opened and the issue addressed by the support team.

  • IAM Team
    • Create a manifest file with comma-separated values of CUID and file name
    • Zip the manifest and all included JPG files into a single archive
    • Copy the file to the SPS H: drive location nightly at approximately 7pm
  • SPS Team
    • Copy the file from the H: drive location to the Slate SFTP server daily at approximately 7am
    • Slate automatically imports any file that is copied
