Pre-College Registration

Executive Summary

After the tumult of our first Covid-19 Summer Immersion session, it was clear that we would need a more streamlined mechanism to handle the next Summer Immersion session more efficiently. After a successful term of allowing students to self-register for the Spring 2021 Academic Year Immersion (AYI) program, a tool was developed using this operating model for the coming Summer 2021 registration cycle. In cooperation with the Admissions team, a deep-dive into the process that was used to manage self-registration yielded a number of areas that could be automated, and the Pre-College Registration Tracker was developed to meet this need. Since its inception for Summer 2021, the tool has been used to manage registrations for a full Summer term and two subsequent AYI terms, allowing a two-person Admissions team to service registrations for over 5,000 students. The tracker has since been revised to handle our first year of combined on-campus and online Pre-College operations since Covid-19.

The top features of the Pre-College Registration Tracker are noted below:

  • A comprehensive query that combines data from both Slate and SIS is loaded with a simple, one-click interface for a daily view of students' registration statuses.
  • Slate data reflecting eligible courses and sessions for students are compared to actual registrations in SIS, and business logic is applied to check for anomalies.
  • Filtered views highlight any cases that require attention by an Admissions coordinator.
  • Any student that requires a manual intervention can be flagged, with notes about any corrective action that was taken.
  • With each daily sync, all corrected issues are automatically removed from the filtered views and marked as complete.

New for Summer 2022:

  • Manual feeds that must be sent to SIS are now being built automatically using the data that is synced between the two systems. This includes tuition billing, deposits, and employee discounts.
    • This includes tracking and validation of what is shown in Slate with the landing data in SIS, with filtered views calling out any anomalies.
  • Extended business logic to manage a wide variety of session possibilities with the resumption of both an extended array of options, and the resumption of commuter and residential offerings.

  • The bill suppression proces is owned by Finance.  Bill suppression and Suppression Removal files are now available on the H Drive: 

Purpose

The components defined in this project will serve as the mechanisms to streamline the workflows to get students from admissions to registration in SIS. This document covers any application or systemic development that will facilitate the process.
